Technopolis (“Technopolis,” “we,” “us,” or “our”) operates the website located at www.technopolis.nyc, together with related webpages, forms, estimators, project-assistance tools, and other online functionality that we operate (collectively, the “Site”).

This Privacy Policy describes how Technopolis collects, uses, maintains, processes, and discloses information obtained through the Site.

This Privacy Policy applies only to information collected through the Site or otherwise submitted to Technopolis in connection with an inquiry initiated through the Site. It does not necessarily govern information collected under separate contracts, project agreements, employment relationships, or other offline arrangements that may be subject to separate terms.

By accessing or using the Site or voluntarily submitting information through the Site, you acknowledge the practices described in this Privacy Policy.

1. Information We Collect

The information we collect depends on how you use the Site and which features you choose to use.

A. Site Survey Information

When you submit a Site Survey or similar inquiry, Technopolis may collect:

• your name;
• email address or telephone number;
• ZIP code or city;
• the type of service requested, if provided;
• notes or project descriptions you voluntarily provide; and
• other information you choose to enter into a text field.

The current Site Survey does not require a complete street address, apartment or suite number, floor plans, photographs, CAD files, PDFs, network diagrams, or other uploaded project files.

2. Project Estimator

The Site may provide a Project Estimator that allows users to enter information such as:

• ZIP code;
• property type;
• approximate square-footage range;
• requested systems or services;
• whether the project involves new construction;
• anticipated project timeline; and
• other project characteristics presented by the Estimator.

The Estimator may process this information to generate an approximate or preliminary result.

Estimator calculations, pricing logic, coefficients, formulas, and related internal methodologies are proprietary to Technopolis and are processed through Technopolis-controlled systems.

Under the current implementation:

• incomplete Estimator sessions are not stored by Technopolis;
• Estimator selections are not stored through cookies or local storage;
• calculated pricing is not stored in the Technopolis CRM;
• detailed Estimator pricing breakdowns are not stored in the Technopolis CRM; and
• when a user voluntarily provides contact information at the end of the process, Technopolis may store the user’s name, contact information, and ZIP code in its internal CRM.

The Estimator is intended only to assist with preliminary project qualification and does not by itself constitute a binding quote, proposal, contract, offer, engineering determination, or guaranteed project price.

3. Project Assistant and AI-Assisted Features

The Site may provide a Project Assistant, AI Project Assistant, AI Estimator Assistant, automated project pre-qualification tool, or similarly described feature.

How the Project Assistant Works

The Project Assistant is an automated assistant, not a person. Where artificial-intelligence processing is enabled, it is powered by a commercial AI model provided through the OpenAI API. Where it is not enabled or is unavailable, a scripted qualification process is used instead.

The Project Assistant may collect information such as:

• the text of your messages and the assistant’s replies;
• project description, property type and requested systems or services;
• quantities, site conditions and whether you already have equipment;
• general location or ZIP code;
• expected timeline and your role in the project;
• name;
• telephone number or email address; and
• other project-related information voluntarily submitted by the user.

Prices shown by the Project Assistant are calculated by Technopolis’s own estimating rules, not by the AI model, and are approximate starting figures only. The exact price is determined only after a Site Survey. Nothing the assistant says is an offer, quote, or binding commitment.

When you provide contact details and project information, a summary, the approximate estimate shown to you, and a copy of the conversation are stored in Technopolis’s internal CRM so that a Technopolis manager can follow up on your inquiry.

Conversation Retention

Copies of Project Assistant conversations stored in our CRM are automatically deleted 30 days after they are received. The resulting lead record (such as your name, contact details, project summary and estimate) is retained as described in Section 13. While you are using the Site, the conversation is also kept in your browser’s session storage so it follows you between pages; it is cleared when you close the browser tab or select “New chat”.

Please do not enter passwords, payment card numbers, government identifiers, or other sensitive information into the Project Assistant.

AI Processing

Technopolis may change AI models, model versions or AI technology providers (which may include OpenAI, Anthropic, or another provider selected by Technopolis).

Where AI processing is enabled, information entered into the relevant AI-assisted feature may be transmitted to the applicable AI provider to the extent reasonably necessary to:

• process the user’s request;
• interpret project requirements;
• generate questions or responses;
• assist with project qualification;
• generate preliminary recommendations;
• organize project information; or
• provide related functionality requested by the user.

Technopolis intends to use commercial, business, enterprise, or API-based AI services under terms that do not use business customer inputs and outputs to train the provider’s general-purpose models by default, where commercially available and appropriate.

However, an AI provider may process, temporarily retain, monitor, or otherwise handle information in accordance with its applicable commercial terms, API terms, security policies, legal obligations, and data-retention configuration.

Technopolis does not control all internal security, retention, or compliance processes of an independent infrastructure or AI service provider.

4. Information Stored in Our Internal CRM

Technopolis operates an internal, custom CRM rather than using a third-party commercial CRM platform for the current Site implementation.

Information stored in the CRM may include:

• name;
• telephone number;
• email address;
• ZIP code or general project location;
• service requested;
• project notes;
• project description;
• property type;
• requested systems;
• timeline;
• source of the inquiry;
• structured Project Assistant responses, the approximate estimate shown, and a copy of the Project Assistant conversation (deleted after 30 days); and
• other information reasonably related to the inquiry or prospective project.

Technopolis may associate information obtained through different Site features with the same lead, customer, project, telephone number, email address, or other identifying information where reasonably necessary for legitimate business purposes.

5. Information We Do Not Currently Collect Through the Site

Under the current Site implementation, Technopolis does not provide Site functionality for:

• customer accounts or logins;
• customer passwords;
• online payment-card processing;
• uploaded floor plans;
• uploaded photographs;
• uploaded PDFs;
• uploaded CAD or DWG files;
• uploaded network diagrams;
• uploaded security-system plans;
• uploaded identification documents; or
• online storage of customer files.

If these Site capabilities are introduced in the future, this Privacy Policy may be updated as appropriate.

6. Sensitive Information

Users should not submit confidential credentials or unnecessary sensitive information through general Site forms, the Project Estimator, or the Project Assistant.

Unless Technopolis expressly requests such information through an appropriate method, do not submit:

• Social Security numbers;
• passport numbers;
• driver’s-license numbers;
• payment-card numbers;
• bank-account information;
• passwords;
• Wi-Fi passwords;
• network administrator credentials;
• API keys;
• cryptographic keys;
• alarm codes;
• access-control master codes;
• safe combinations;
• camera or NVR administrator passwords;
• remote-access credentials;
• medical information;
• biometric information; or
• other highly sensitive information unrelated to an ordinary project inquiry.

Technopolis may disregard, restrict access to, remove, redact, or delete unnecessarily submitted sensitive information where reasonably practicable.

Users are responsible for exercising reasonable care regarding the information they voluntarily submit.

7. Technical and Server Information

When you access the Site, certain technical information may necessarily be processed by Technopolis’s servers or hosting infrastructure.

This may include:

• Internet Protocol (“IP”) address;
• date and time of access;
• requested URL;
• browser information;
• device or operating-system information;
• user-agent information;
• network request information;
• server response information; and
• similar technical information ordinarily generated in connection with operating an Internet service.

Technopolis currently uses IP-address information on a temporary basis for certain security and rate-limiting functions.

The Site application does not currently intentionally associate this IP-address information with CRM lead records for marketing purposes.

Technopolis’s hosting or infrastructure provider may independently maintain ordinary server, network, access, security, or diagnostic logs as part of providing hosting infrastructure.

The contents and retention periods of infrastructure-level logs may depend on the applicable hosting configuration and provider.

8. Cookies and Tracking Technologies

The Site currently uses the following third-party services:

Google Analytics 4

Technopolis uses Google Analytics, a web analytics service provided by Google LLC, to understand how visitors use the Site — for example, which pages are viewed, how visitors arrive at the Site, general device and browser characteristics, approximate location derived from IP address, and interaction events such as a form being successfully submitted.

Google Analytics uses first-party cookies (such as _ga and _ga_*) to distinguish visitors and sessions. Technopolis does not send names, email addresses, phone numbers, or message contents entered into Site forms to Google Analytics.

You can learn how Google uses this information at policies.google.com/technologies/partner-sites and opt out using the Google Analytics Opt-out Browser Add-on. You may also block or delete cookies through your browser settings.

Visit Source (Attribution)

When you arrive at the Site, your browser’s local storage keeps a short record of how you found us — the page you first landed on, the referring website, and any campaign parameters in the link (such as UTM tags or advertising click identifiers). This record stays on your device for up to 30 days and is sent to Technopolis only if you submit a form, so we know which channel your inquiry came from. It contains no name, email address, or phone number. You can remove it at any time by clearing your browser’s site data.

Google reCAPTCHA

Site forms are protected by Google reCAPTCHA to prevent spam and automated abuse. reCAPTCHA collects hardware and software information, such as device and application data and interaction signals, and sends it to Google for analysis. Use of reCAPTCHA is subject to the Google Privacy Policy and Terms of Service. The resulting risk score is stored with the submission record in our internal CRM for spam-prevention purposes.

Technopolis does not currently use third-party advertising cookies or behavioral advertising pixels. The Site does not presently integrate:

• Google Ads remarketing or conversion tags;
• Meta Pixel;
• LinkedIn Insight Tag;
• TikTok Pixel;
• Microsoft Clarity;
• Hotjar; or
• similar third-party behavioral analytics or advertising systems.

Technopolis may introduce analytics, security, performance-monitoring, or similar technologies in the future.

If our tracking practices materially change, Technopolis may update this Privacy Policy and implement additional notices or controls where required by applicable law.

9. How We Use Information

Technopolis may use information collected through the Site for legitimate business and operational purposes, including to:

• respond to inquiries;
• qualify prospective customers;
• evaluate proposed projects;
• determine whether requested services are available;
• determine whether a project is within our service area;
• understand customer requirements;
• prepare estimates or proposals;
• perform preliminary project planning;
• communicate with prospective customers;
• communicate with existing customers;
• schedule or coordinate potential work;
• manage leads and prospective projects;
• maintain customer and project histories;
• perform internal business administration;
• improve our services;
• improve Site functionality;
• develop or improve internal workflows;
• operate and improve Estimator functionality;
• operate and improve Project Assistant functionality;
• prevent fraud, spam, abuse, or misuse;
• protect our systems and infrastructure;
• investigate technical problems;
• enforce our agreements and policies;
• maintain business records;
• establish, exercise, or defend legal claims;
• resolve disputes;
• comply with legal requirements;
• respond to lawful requests from governmental authorities; and
• protect the rights, property, security, or interests of Technopolis or others.

Technopolis may use information for additional purposes that are reasonably compatible with the context in which the information was provided and permitted by applicable law.

10. Sales and Business Communications

Information submitted through the Site may constitute a business inquiry.

By voluntarily submitting your contact information and requesting information about Technopolis services, you authorize Technopolis to use the contact information you provided to respond to the inquiry and communicate with you concerning:

• the requested service;
• the proposed project;
• estimates;
• proposals;
• scheduling;
• Site Surveys;
• project qualification;
• follow-up questions; and
• related Technopolis services.

Technopolis may maintain records of such communications as part of its normal business records.

Any marketing communications subject to separate consent, opt-out, or other requirements will be handled as required by applicable law.

11. Disclosure of Information

Technopolis does not disclose Personal Information indiscriminately.

Information may nevertheless be disclosed in the circumstances described below.

A. Hosting and Infrastructure Providers

Technopolis relies on hosting, network, cloud, telecommunications, or similar infrastructure required to operate the Site.

Such providers may technically process or have access to information passing through or stored on their infrastructure as necessary to provide their services.

B. Artificial Intelligence Providers

If Technopolis activates third-party AI functionality, relevant information may be transmitted to the selected AI provider as described in Section 3.

C. Employees and Authorized Personnel

Information may be accessed by Technopolis personnel where reasonably necessary for:

• sales;
• estimating;
• customer communication;
• technical review;
• project planning;
• administration;
• security;
• legal compliance; or
• performance of requested services.

D. Contractors, Advisors, and Service Providers

Technopolis may disclose information to contractors, subcontractors, consultants, attorneys, accountants, insurers, technical service providers, or other professional advisors where Technopolis reasonably determines that access is necessary for a legitimate business purpose.

The current Site does not automatically transmit CRM lead data to external installers, architects, designers, general contractors, or similar parties.

E. Legal Compliance

Technopolis may disclose information if it reasonably believes disclosure is necessary or appropriate to:

• comply with applicable law;
• respond to a subpoena;
• respond to a court order;
• comply with legal process;
• respond to a lawful government request;
• investigate suspected unlawful conduct;
• prevent fraud or abuse;
• protect Technopolis systems;
• enforce an agreement;
• protect the rights or property of Technopolis;
• protect the safety of any person; or
• establish, exercise, or defend a legal claim.

F. Business Transactions

Technopolis may disclose or transfer information in connection with an actual or contemplated:

• merger;
• acquisition;
• financing;
• corporate restructuring;
• sale of assets;
• transfer of business operations;
• investment transaction;
• insolvency proceeding; or
• similar business transaction.

Any successor or acquiring entity may obtain information held by Technopolis as part of such a transaction, subject to applicable law.

12. No Sale of Personal Information

Technopolis does not sell Personal Information collected through the Site for monetary compensation.

Technopolis does not currently provide Personal Information collected through the Site to advertising networks for cross-site behavioral advertising or retargeting.

Technopolis does not currently upload customer telephone numbers, email addresses, or CRM lead lists to advertising platforms for custom-audience advertising.

If these practices materially change, Technopolis may update this Privacy Policy and provide any notices, choices, or other mechanisms required by applicable law.

13. Data Retention

Technopolis retains information for legitimate business purposes and as otherwise permitted or required by applicable law.

The appropriate retention period may depend on factors including:

• the nature of the information;
• the nature of the inquiry;
• whether the individual becomes a customer;
• whether a project proceeds;
• continuing customer-service requirements;
• business-record requirements;
• warranty considerations;
• accounting requirements;
• tax requirements;
• insurance requirements;
• security requirements;
• contractual requirements;
• anticipated or existing disputes;
• applicable statutes of limitation; and
• legal obligations.

Current CRM Retention

Technopolis has not implemented a fixed automatic deletion period for lead records in its internal CRM as of the Effective Date of this Privacy Policy.

Project Assistant conversation copies are the exception: they are deleted automatically 30 days after receipt (see Section 3).

Accordingly, lead, inquiry, and project-related records may remain in the CRM for an extended period where Technopolis reasonably determines that continued retention serves a legitimate business, recordkeeping, security, operational, or legal purpose.

Technopolis may delete, archive, restrict, anonymize, or otherwise dispose of records when it determines that the information is no longer reasonably required, subject to applicable legal obligations.

Technopolis reserves the right to establish or modify internal retention schedules at any time, subject to applicable law.

Infrastructure Records

Server logs, backups, security records, and similar infrastructure information may be retained according to the configuration and normal operational cycle of the applicable hosting or infrastructure systems.

Information deleted from an active system may remain for a period of time in backups, archives, logs, disaster-recovery systems, or other systems not immediately overwritten.

14. Privacy Requests

You may contact Technopolis regarding Personal Information that you believe Technopolis maintains about you.

Depending on applicable law and the circumstances, you may request that Technopolis:

• review certain information associated with you;
• correct inaccurate information; or
• delete certain information.

Submission of a request does not guarantee that Technopolis is legally or technically required to fulfill the request.

Technopolis may decline, limit, or modify a request where permitted by applicable law, including where information is reasonably necessary to:

• complete or document a transaction;
• maintain a customer or project record;
• comply with a contract;
• comply with applicable law;
• maintain tax or accounting records;
• prevent fraud or abuse;
• maintain security;
• exercise legal rights;
• defend against legal claims;
• resolve disputes;
• preserve evidence;
• protect Technopolis or another party; or
• satisfy another legitimate business requirement permitted by law.

Technopolis may require information reasonably necessary to verify the identity and authority of a person making a privacy request.

Technopolis does not currently provide a self-service privacy portal or automated account-deletion mechanism.

Privacy-related requests may be submitted through the contact information provided on the Site. Please clearly identify the communication as a “Privacy Request.”

Technopolis will process requests to the extent required by applicable law.

15. Security

Technopolis seeks to maintain administrative, technical, and organizational safeguards that are reasonable and appropriate in light of:

• the nature of the information involved;
• the size and complexity of Technopolis’s operations;
• reasonably foreseeable risks; and
• applicable legal requirements.

Access to CRM and production information is intended for legitimate Technopolis business purposes.

However, no Internet transmission, hosting system, server, database, network, software system, or electronic storage method can be guaranteed to be completely secure.

Accordingly, Technopolis does not warrant or guarantee the absolute security of information submitted to or maintained through the Site.

To the maximum extent permitted by applicable law, users provide information electronically at their own inherent risk.

Nothing in this Privacy Policy is intended to waive obligations that cannot lawfully be waived.

16. Data Breaches and Security Incidents

If Technopolis discovers a security incident involving information subject to legally mandated notification requirements, Technopolis will evaluate and address the incident in accordance with applicable law.

Technopolis reserves the right to investigate suspected security incidents, misuse, fraudulent activity, unauthorized access, or violations of its policies and to preserve relevant records where reasonably necessary for such investigation.

17. Children and Minors

The Site is intended for adults seeking professional technology, electrical, networking, security, automation, infrastructure, installation, and related services.

The Site is not directed or targeted to children or minors.

Technopolis does not knowingly operate the Site for the purpose of collecting Personal Information from children.

The current Site does not require users to submit their age or date of birth.

If Technopolis obtains actual knowledge that information has been collected from a minor in circumstances subject to special legal requirements, Technopolis may take such action as it determines appropriate or as required by applicable law, which may include restricting use of or deleting the information.

18. Third-Party Links

The Site may contain links to third-party websites, manufacturers, vendors, social networks, services, applications, or other Internet resources.

Technopolis does not control those third parties and is not responsible for their:

• privacy practices;
• security practices;
• content;
• cookies;
• tracking technologies;
• terms of service; or
• data-processing activities.

Access to a third-party website or service is subject to that third party’s own terms and privacy practices.

A link from the Site does not constitute a representation or warranty concerning the privacy or security practices of the linked third party.

19. Data Processing Locations

Technopolis and its infrastructure or future technology service providers may process information in the United States or in other jurisdictions in which their infrastructure, personnel, or service providers operate.

Laws governing privacy, security, governmental access, and data processing may differ between jurisdictions.

Technopolis will process information in accordance with applicable legal requirements governing Technopolis.

20. Changes to the Site

The Site is under continuing development.

Technopolis may add, remove, modify, replace, or discontinue functionality, including:

• Project Assistant features;
• AI functionality;
• Estimator functionality;
• CRM functionality;
• analytics;
• security systems;
• forms;
• communication systems;
• scheduling functionality;
• file-upload capabilities;
• customer portals; and
• third-party integrations.

The fact that a feature, vendor, or processing activity is described as a possible future activity in this Privacy Policy does not represent that the feature is currently active.

21. Changes to This Privacy Policy

Technopolis reserves the right to amend this Privacy Policy from time to time.

Changes may be made to reflect:

• changes in law;
• changes in Site functionality;
• changes in business practices;
• new services;
• changes in technology providers;
• changes in security practices;
• changes in data-processing activities; or
• other operational considerations.

The revised version will be identified by an updated “Last Updated” date.

Unless otherwise required by applicable law, changes become effective when the revised Privacy Policy is posted on the Site.

Your continued use of the Site following the effective date of a revised Privacy Policy constitutes acknowledgment of the revised Policy to the extent permitted by applicable law.

22. Other State Privacy Rights

Residents of certain U.S. states may have additional rights under applicable state privacy laws.

Technopolis will provide and honor statutory privacy rights to the extent those laws apply to Technopolis and the particular processing activity.

Nothing in this Privacy Policy is intended to create contractual privacy rights beyond those required by applicable law.

Nothing in this Privacy Policy should be interpreted as an admission that any particular comprehensive state privacy statute applies to Technopolis where the applicable statutory thresholds, jurisdictional requirements, or other conditions have not been satisfied.

23. No Contractual Guarantee

This Privacy Policy describes Technopolis’s privacy practices and is not intended to create a separate contractual guarantee, fiduciary relationship, or duty beyond obligations imposed by applicable law.

Nothing in this Privacy Policy expands any warranty, liability, obligation, or remedy that would not otherwise exist under applicable law.

To the maximum extent permitted by applicable law, Technopolis reserves all rights, defenses, limitations, exceptions, and exemptions available to it.

24. Contact Technopolis

Questions or requests concerning this Privacy Policy may be submitted to Technopolis through the contact methods listed on the Site.

When submitting a request concerning Personal Information, please clearly identify the communication as:

and provide sufficient information for Technopolis to identify the relevant inquiry or record.

Please do not submit passwords, Social Security numbers, complete financial-account information, payment-card information, security credentials, or other unnecessary sensitive information as part of a privacy request.
